We know that you might have many assets in your libraries and projects, and keeping track of names and locations can be difficult. This is why an asset filter is integrated – helping you to quickly find assets in different ways.
The asset filter can be found on the top of your Libraries and Projects in the backend of your brand space.
For both Libraries and Projects, the filter options are the same.
Getting started with Asset Filters in Libraries
The asset filter for the Media Library, Logo, Icon, Document Libraries has a comprehensive sorting system that allows you to search by name, keywords and filters:
In addition to keywords, when searching tags, AI-generated tags are shown in a small section called "Matches found by AI."
Search and select filters and metadata
Standard filters are displayed by default, including: creator, download protection, licenses, added date, creation date, tags, workflow status, plus collections and orientation.
If you want to filter based on custom metadata values, you can browse and add them using the filter search. Click 'add filter' to continue narrowing your results.
For example, you can do a keyword search and also check on the status of an asset:
Or you also have the option to search by assets that have download protection. This will allow asset managers to have a good overview of the assets that have or have not been protected if this has been done individually, rather than library or folder level.
You can quickly clear all filters by clicking ‘clear all’ or manually closing out specific filters you have applied to your search.
Using filter operators
Each filter has an operator that controls how selected values are applied (available operators depend on the property).
For example:
IS — exact match. The asset must match the selected value. For array fields (like tags), the asset must have all selected values.
IS ONE OF — multi-value OR logic. The asset must match at least one of the selected values. For example: File type IS ONE OF "jpg", "png" returns assets that are either JPEGs or PNGs.
IS NOT — exclusion. The asset must not match the selected value. For example: Workflow status IS NOT "Draft" excludes all draft assets.
IS NOT ANY OF — exclusion. The asset must not match any of the selected values.
IS EMPTY — The asset does not include any values.
How filter logic works across properties: When you apply multiple filters across different properties, they combine with AND logic i.e. assets must match all active filters.
For example, filtering by File extension IS ONE OF "jpg", "png" AND Workflow status IS NOT "In progress" returns only JPEG or PNG assets that are not in progress.
How to apply AND logic using Tag filter operator: To ensure that an asset matches multiple values on the same property (AND logic), add the same filter property twice with separate values.
For example, to find assets tagged with both "pizza" and is not "person", add the Tags filter twice: Tags IS "pizza" + Tags does not include "person".
Filtering by custom metadata date fields
Custom metadata date fields such as "Rights expiry date" or "Campaign go-live date" are also filterable using a date range picker, the same way built-in date fields work.
To filter by a custom date field:
Click Add filter.
Select Event date under Custom metadata
Select the date using the date picker, choosing from Is, is not, is empty.
Finding assets with missing metadata
To locate assets that haven't been assigned a value for a specific custom metadata property, click Add filter, choose the custom metadata field, and select the IS EMPTY operator. This returns all assets where that field has no value set, making it easier to identify and fill metadata gaps.
You can also use IS EMPTY on other filter types that support it such as tags and collections to find assets with no values assigned to those fields.
