What is user or group provisioning

Provisioning allows you to implement an approval workflow for platform access and permission requests from either individual users or groups. After getting a notification, you will have the option to approve or reject new permission requests in one single place. Controlling access to brand resources and projects will therefore meet your company’s security requirements.

User or Group Provisioning can only be activated by Frontify. Please inform your Frontify CSM or Support team that you'd like to enable this functionality.

Provisioning requirements can be set up separately for individual users and for groups.

Once this feature is enabled, users who invite others to the platform have to mention the reason why they want to invite someone. Stating a contact person helps to get in touch for clarifications. The account admin or someone whom you have defined as approving access requests (your compliance team) receives a notification by email.

A compliance team is defined by the list of emails you have set up in your Access Request setup.


Approving / Rejecting requests

The invitation request is visible in the Access Requests section of Access Management. The request type will have the Request Type set as Provisioning (User) - Access if requested for individual users, or Provisioning (Group) - Access if requested for a group.

Basic information regarding a request is summarized in the usage overview and can be accepted or rejected straight away. The details of the request can be viewed by clicking Show details. In the case of a rejection, a reason can be stated. In the case of approval, an invitation email is sent out to the prospective user.


Combining with automatic approvals

It is possible to set up automatic approvals by email domain for requests to add individual users to guidelines, projects or libraries. For example, you may opt to have everyone from your organization be automatically approved, while requiring manual approval for any external person, thus keeping control of who is invited to your guidelines, projects or libraries. Another use case is to provide automatic approval, to any member of an agency you regularly work with, or a sub-brand.

Automatic approvals can be set up for any email domain, a single email domain or for multiple email domains and can have any level of permission assigned from VIEW, EDIT, ADMIN.

Automatic approval must be set up by Frontify. Please inform your Frontify CSM or the Support team that you'd like to enable this functionality, as well as provide them with the details of which domain(s) should be auto-approved with which permissions.
