1. Why use Access Request?
As your brand portal grows, managing access manually (especially for freelancers, partners, and other external collaborators) can quickly become time-consuming.
Single Sign-On (SSO) works well for internal users but doesn’t cover everyone. That’s where Access Request comes in.
With this feature, you can:
Let new users request access directly from your login page
Collect all the information you need up front (like company or project name)
Avoid back-and-forth emails by automating the process
Maintain control over who gets access to which domains
This helps you save time, stay secure, and keep your portal running smoothly—no matter how many users you manage.
2. What is the Access Request feature?
Access Request allows new users (especially those outside your organization) to request access through a simple form on your login page. You can then approve or deny each request based on the details they provide.
3. How does it work for new users?
A user visits your login page.
They click Request Access.
They fill out a form with fields you’ve customized (e.g., name, email, company).
An email is sent to selected Admins.
Admins review and manage requests from the User Management page.
4. How to configure the Access Request form
Customize the form to collect the information most relevant to your team.
Steps:
Click your profile picture in the bottom-left corner of the Frontify interface.
Select Configure your Access Request.
Add, remove, or edit form fields such as:
Company name
Project name
Reason for access
You’re in control of what’s required—so you get all the context you need to make informed decisions.
5. Who can approve requests?
Only users with Admin rights can approve access requests.
You can add one or more Admins in the notification email settings to receive alerts when someone submits a request.
Regardless of notifications, all Admins can see and manage requests in the User Management page.
6. Using Access Request with multiple domains
If your account has multiple domains (e.g., brand1.frontify.com
, brand2.frontify.com
), you can:
Configure different forms and notification settings for each domain
Tailor the experience based on who is likely to request access to each one
All requests (no matter which domain they come from) are shown in the User Management page.
This ensures Admins can manage all requests in one place, with full visibility across every brand portal.
7. Where to manage requests
Go to the User Management page to see and act on access requests.
From there, Admins can:
View pending requests
Approve or deny access (explained in detail in #10)
8. [New] What is Access Request delegation?
Access request delegation lets Admins assign incoming access requests to content owners or other trusted users (even if they’re not Admins). These delegates can review, approve, reject, or reroute access requests, so approvals happen faster and more efficiently.
9. [New] Can non-Admins review or manage access requests?
Yes! If you’ve been assigned as a delegate, you can:
Approve or deny access requests directly
Reassign the request to someone else if it’s not yours to handle
You’ll receive an email when you're assigned a request and can take action without needing Admin rights.
