What is AI translation?

AI translation is an editor tool that allows you to translate entire guideline pages into secondary languages with a single click. It helps global and local teams access, understand, and apply your brand consistently across different markets and cultures.

The feature is available in Beta and requires admin activation.


What can AI translation be used for?

Here are some common scenarios where AI translation helps:

  • Global rollout: Translate guidelines into 30+ languages for regional teams.

  • Campaign localization: Adapt guidelines for different markets quickly.

  • Consistency across languages: Maintain brand alignment when guidelines exist in multiple languages.

  • Local team enablement: Give regional teams access to guidelines in their own language.


How does AI translation work?

  • Translations run at the page level (not the full guideline at once).

  • Any untranslated block on that page will be translated.

  • Formatting and styling are preserved.

  • You can add custom prompts to refine results (e.g., keep specific terms in English).

  • A reset option lets you roll back individual blocks to the default/original language.


How do I enable and disable AI translation?

At the account level

  • Go to Account settings.

  • Toggle AI translation on.

  • Accept the Beta terms when prompted (Only account admins can do this.)

At the guideline level

  • Once enabled at the account level, go to Access Management in Account settings.

  • Select which guidelines should have AI translation available.

Toggle it off either at the guideline level (Access Management) or at the account level (Account settings).


Are there special terms connected to AI translation?

Yes. Since it’s in Beta, you’ll need to accept the Beta terms and privacy notice before enabling it.


How can I control which users have access to AI translation?

  • Editors and translators can trigger translations and refine them.

  • Admins control whether AI translation is enabled for the account and on specific guidelines.

  • Viewers automatically see localized guidelines in their preferred language, once translations are published.


Does AI translation respect targets and permissions I’ve set?

Yes. Translations follow your existing permissions and visibility settings. Users will only see translated content for the pages and content they already have access to.


Is AI translation available for non-logged-in users in public portals?

Yes, if the guideline is public, translated versions will also be visible publicly.


What does “Beta” mean in this context?

AI translation is still in development. You may experience occasional bugs or improvements. Your feedback during this phase is highly valuable.


What technology does AI translation rely on?

It uses Azure OpenAI GPT-4.1 mini, called via Frontify’s backend (AWS).


Will any of my data (guidelines or prompts) be used to train the model?

No. Inputs and outputs are sent to the model at the moment of translation only. They are not stored or used for training.


Does AI translation handle Personally Identifiable Information (PII)?

No. Not unless a user includes personal information in a prompt. AI translation does not store or train on user data.


Are there any extra costs associated with AI translation?

No additional costs apply during the Beta phase. Usage limits may be introduced, and pricing will be communicated once it leaves Beta.


Do I need to review translations before publishing?

Yes. While formatting and tone are preserved, human review is strongly recommended to ensure cultural accuracy and nuance before publishing externally.
