What is the Action tool bar?

The Action tool bar introduces an interactive layer to your brand guidelines, transforming them from static documentation into a space for collaboration and action.

With simple, in-context tools like Copy page link and the File transfer app (coming soon), practitioners can engage, share, and act directly within your guidelines, without ever leaving the page.

The result: a more dynamic, participatory experience that helps teams collaborate faster and stay aligned in context.


How to activate the Action tool bar

Editors can easily enable or disable the Action tool bar for each guideline:

  1. Go to Settings → General → Action tool bar.

  2. Toggle the toolbar on or off.

  3. Select which actions and apps you want to make available to users.

Once activated, the toolbar appears for all logged-in users.


How to use the Action tool bar

The Action tool bar appears as a floating bar at the bottom center of your guideline pages.

To use it:

  1. Open your guideline in view or edit mode.

  2. Locate the toolbar at the bottom center of the page.

  3. Choose an action: For example, Copy page link or Start guideline apps.

Complete your action directly within the page, no context switching needed.

Quickly share a direct link to any guideline page.

When you click Copy page link, the URL is instantly copied to your clipboard, making collaboration smoother and faster.


Guideline apps

File transfer app (coming soon)

The File Transfer App is the first Guideline App built by our partner PSG, and it lets you send files securely within your Frontify environment, without switching tools or relying on third-party services.

It was developed to address real customer needs, especially for organizations that can’t use external transfer tools like WeTransfer or Dropbox for compliance reasons

  1. Why use the File transfer app

    Frontify users often need to send temporary files, such as campaign materials, design drafts, or large brand assets, to external collaborators. Previously, this required suboptimal workarounds like:

    1. Email attachments with strict size limits

    2. External file transfer tools that require separate logins or subscriptions

    3. Uploading temporary files into the DAM and manually removing them later

  2. Key benefits

    • Secure & Compliant: Data never leaves your Frontify environment, ensuring full governance and alignment with enterprise compliance standards.

    • User-friendly: Anyone logged into Frontify, including viewers, can send files directly from the guidelines.

    • Streamlined workflow: No need to leave Frontify or use email attachments or external links.

    • Free to use: The app is available at no additional cost via the Frontify Marketplace.

  3. Before You Start

    • Before using the File Transfer App, make sure you have the right setup and access:

      • The app can be enabled by guideline editors directly from the Frontify Marketplace.

      • Available to all Frontify customers with Marketplace access.

      • File recipients must have access to the same workspace.

      • Supports all common file types including images, videos, documents, and design files.

  4. How to use the File transfer app

    • From the Action tool bar, click Guideline apps.

    • Select Send File in the app chooser modal.

    • Choose your file(s).

    • Add an optional message if needed.

    • Send directly to teammates or collaborators within Frontify.

  5. Technical and security details

    • Type: Community App (built by PSG, verified by Frontify)

    • Access: Only logged-in users can send files, no external or anonymous uploads.

    • Administration:

      • Guideline editors can activate the app per guideline.

      • Admins who install the app can define transfer limits (for file size and number of files).

    • Security: Because transfers occur within the Frontify environment, they meet enterprise compliance standards. No external tools like WeTransfer are required.

  6. Troubleshooting

    • If the app doesn’t appear in your toolbar:

      • Check that your editor has enabled it from the Marketplace.

      • Confirm your browser and file size meet requirements.


Notes and best practices

  • Availability: The tool bar is visible to all logged-in users once activated.

  • Customizability: Works across all themes with minimal setup. Additional customization options are coming in 2026.

  • Extensibility: Editors can add new apps (e.g., a Ticket creation app) from the Frontify marketplace as they become available.

  • Collaboration: The tool bar encourages teams to share, request, and contribute, turning your guidelines into living, collaborative spaces.
