Custom download request form

Controlling asset downloads and collecting required information

This article explains how download requests work in the Media Library, how to customize the download request form, and how to manage approval settings.

As an owner, you can apply an additional level of security to your assets and gain more insight into users downloading them. Setting up a request form for asset downloads adds a layer of protection. By default, the form requires users to provide the intended use of the asset.

You also have the option to create a personalized form where you can request additional information from users who want to download an asset from your Media Library.


Creating your customized download request form

The form must be activated and configured in the backend of your Media Library.

Go to the Power Bar and open Settings β†’ Usage settings. Under Download protection, select On request to activate the form.

In the same panel, you will find Request form configuration, where you can modify and add fields to customize the form. You can edit the title and description by adding your own text. The Intended use field is included by default and can be edited.

You can add or remove fields such as Email or Name. When adding a field, you can define the field type, label, and placeholder text, and choose whether the field is required. To add a field, click Add field. To remove a field, click the trash bin icon next to it.

At the bottom of the panel, you can define the available download image sizes. You can make all versions of an image available or limit downloads to selected sizes.

In the Custom sizes & cropping panel, you can choose whether to lock the aspect ratio and/or enable cropping.

Once the download request form is created and activated, users must complete the form when clicking Request download.


Accepting or declining download requests

Only account admins can view download requests. Requests are available under the Requests option when clicking on your profile picture in Frontify.

Requests can be approved or rejected.

  • If approved, the user is notified via email and redirected to the asset in the app to download it.

  • If rejected, you must provide a reason. The user will then be informed of your decision via email.

Auto approval

Auto approval allows you to create a custom download form without manually approving each request. When enabled, users can download the asset immediately after submitting the form.

This can be useful for granting download access to different teams within your company and reducing the time spent responding to requests.

To activate auto approval, go to your Media Library in the backend and select the Settings cogwheel β†’ Usage settings. There, you can enable auto approval.

Once activated, users will be able to download assets immediately after completing the custom download form.
