The more users you have accessing your brand portal the more you have to deal with user management. Single-Sign-On is a great way to automate access for colleagues within your organization but fails to handle access requests from your external partners. Enabling the Request Access feature takes off some of the emailing headache necessary for every such request.
New users can request access themselves directly on the login page and fill in a form with essential information for you to grant or deny access. You’re able to define which kind of information is important for deciding on an access grant or denial. Simply configure your access request settings by clicking on your profile picture in-app (bottom left) > “Configure your Access Request”. There you have the possibility to add, and remove fields - just as you wish. Once the new user has sent the form, all relevant information will be delivered to your E-Mail for further actions.
Request Access Approvals
Please note, both users added in "recipient email address" and Admins can approve access requests.
Only this group of selected users will receive the approval request email. However, all Admins can see the entire list of pending approvals on the usage page, so they can also approve.
If no users are entered as recipients of approval requests, then the approval emails go out to all Admins.
Access Requests Settings for Accounts with Multiple Domains
Access Requests are a powerful tool for managing user access to your Frontify account. They operate at the domain level, meaning it is possible to set different Access Request settings per domain. This allows you to customize the access request process for each of your domains, ensuring that only the appropriate users have access to the specific domain they need.
However, all requests, regardless of the domain they originate from, are consolidated in the User Management page. This ensures that all account admins can view and manage requests in one place, regardless of which domain a user belongs to.
For example, let's say your account has two domains: brand1.frontify.com and brand2.frontify.com. A request made on the brand1.frontify.com login page will appear in the User Management page when accessed from either brand1.frontify.com or brand2.frontify.com. This is because the User Management page is one for the entire account, not just a specific domain.
This means that all account admins will continue to see open requests in the User Management page, regardless of the domain they were requested are on. This makes it easy to keep track of all access requests and ensure that they are addressed in a timely manner.
