Overview
Folder-level access lets you invite users or groups to specific folders in a library or project, without granting access to the full library. Invited users can only see and work within their assigned folders through a dedicated Shared folders view.
This is useful for collaborating with external partners, regional teams, or any contributor who only needs access to a defined part of a library.
ℹ️ Folder-level access is available in Media, Document, Icon, and Logo libraries. It is not currently available in Template libraries.
How library-level roles interact with folder permissions
Frontify uses two layers of access: library-level roles and folder-level permissions.
Library-level roles always take precedence. Users with Editor or Admin access at the library level already have full access to every folder. Folder-level permissions don't apply to them.
Folder-level permissions are additive. They can only grant access to users who don't already have it at the library level. They cannot restrict or reduce existing permissions.
For example, if a user has Viewer access to the library but is invited to a specific folder with Can edit, they have edit rights within that folder and its subfolders while remaining read-only everywhere else.
Who can invite users to folders
Folder-level access can be granted by users with Admin, Owner, or Editor rights at the library level, as well as folder-level users who have Can edit permission on a folder.
How to invite users
Inviting users or groups to a folder
To invite a user or group to a specific folder:
Navigate to the folder.
Open the invite dialog in the top right of the page.
Search for users by name or email, or scroll to browse available groups. To invite multiple people at once, select them individually or paste multiple email addresses separated by commas.
Choose a permission level: Can view, Can review, or Can edit.
Optionally, set an access period with a start and end date.
Optionally, toggle the email notification on or off when inviting groups. For individual invites, a personalized message can be added.
Confirm the invitation.
Invited users receive an email notification (if enabled) and can access the folder from their Shared folders view.
Setting an access period
When inviting a user or group, an access period can be set to limit how long they have access. When the period expires, access is removed automatically. The access period can also be edited later from the folder's access management view.
A few things to know about expiring access:
Users will not receive an email notification, but Library Admins and Editor will be notified by email 7 days before their access ends
If a group's access expires, all members of that group lose access at the same time.
What invited users see
The Shared folders view
Users invited to one or more folders access their content through the Shared folders entry point, not through the main library navigation. Within their folders, they can:
Navigate into subfolders
Search and filter assets
View breadcrumbs within their folder hierarchy
They cannot navigate above the top-level folder they were invited to or access any other part of the library.
Note: Users who only have folder-level access and no library-level access will see an empty state when navigating to Libraries. Their shared folders are accessible through the Shared folders tab in the Libraries navigation bar.
Email notifications
When invited to a folder, users can receive an email notification with the folder name and a direct link. The email includes a View Folder button that takes them straight to the shared folder.
Email notifications are optional when inviting groups and can be toggled on or off in the invite dialog. For individual invites, a personalized message can be included to give the recipient context about the folder or what they need to do. Personalized messages are not available for group invites.

Some library features are not available to folder-level users, regardless of their permission level:

Targets (create, assign, or filter)
Moving assets or folders
Library-level views: Overview, Workflow board, Activity, Metadata, and Automations
Apps
ℹ️ Users with Can edit access can see and update the workflow status of individual assets from the asset detail view. Users with Can view or Can review access can see workflow status in the sidebar.
Folder permission management
Permission levels
There are three permission levels for folder-level access:
Can view — Read-only access. Users can browse, search, and download assets within the folder.
Can review — Same as Can view, plus the ability to comment on assets.
Can edit — Full contribution access. Users can upload, edit, and delete assets, manage comments, and invite other users to the folder.

Custom metadata visibility
Folder-level users may see custom metadata on assets, depending on how each property is configured in the library. Each property for 'Can edit' users can be set to:
Can't view — Hidden from folder-level users.
Can view — Visible but read-only.
Can edit — Visible and editable (for Can edit users only).
For "Logged-in users" their settings can be configured to "Can view" and "Can review" permissions.
Folder-level viewers and reviewers follow the "Everyone" permission level configured on each property.
ℹ️ The default permissions for "Folder Editors" have "Can edit" for all metadata properties. The library owner will need to edit the metadata permissions per property if they want to reduce it.
Managing access
Users with Can edit permission on a folder can view and manage who has access to it.
To manage folder access:
Open the folder options and select Invite.
View the list of invited users and their current permission levels.
Update or remove access as needed.
Changes to permission levels take effect immediately. When access is removed, the user loses access on their next page load.
Note: The ability to invite users and change permissions at folder level also depends on account-level permission settings. To check or adjust these settings, go to your profile in the bottom left of the page → Account → scroll down to Required permissions. Under Invite and change user permissions and Invite and change group permissions, the setting must be set to Editor (in that project) and "Can edit" (in that folder) for folder-level permission management to work as described above. ℹ️ Removing folder-level access does not affect any library-level permissions the user may hold.
