How to get started with Workflow

This article gives an overview of the Workflow feature and explains the main functionality.

Workflow allows you to plan and organize your projects with a Kanban board. The board is structured in lanes (status) and cards, which help you track a project's status and assets. Workflows are configurable and can be reused in other projects.

How to Create a Workflow.

If you haven't done so already, create a project by clicking the new button at the top right in the Frontify Projects section.

Then, select the Workflow icon on the left-hand side of the Power Bar to see a standard Workflow Board.

The Workflow board gives you an overview of the different assets in your project and their respective statuses. You can personalize the workflow steps by selecting the cogwheel on the Power Bar and clicking on the “workflow” option and the Workflow Settings tab will pop up.

In the Workflow Settings tab, you can change step names, assign each step to an owner, assign tasks, and select which step will approve the project, like the following example.

Then save it, name it, and your brand new template workflow is ready to be applied to every new project coming on your table, but not to an existing one.

You can change your workflow template settings every time in the brand menu settings on the cogwheel in your project section.

Is your board still empty? Only assets with assigned statuses will show up on your Workflow board, but there are many different ways to set the status of an asset.

How to set the status of an asset

You have several options to set or change the status of an asset.

If your Board is empty, navigate to the assets in your project, that you want to add to your Workflow. Click on the asset's cogwheel and choose a status from the drop-down menu. Alternatively, you can click on the 'Plus' button in the Workflow dashboard. After giving an asset a name and a description, you can click on the freshly created card and change its settings in the sidebar. There are even more advanced ways to set a status, but we won't bother you with that for now. ;)

Alternatively, you can create a blank card and upload an asset later on.

Change an asset's status

Changing an asset's status is super easy - particularly in the Workflow board. Just drag and drop the cards between the different lanes and their statuses will automatically be changed accordingly.

Although this is all you need to know to start planning and organizing your design projects, Workflow is much more powerful. You can assign tasks on assets, automatically be informed about status changes, require feedback from people that move cards, and much more.
