License Management

This article will help you set up licenses for your image assets in the Media Library, Logo Library and Document Library.

Licenses are commonly added in order to protect assets, such as images, from being misused in any way. Different types of licenses are being added, and it’s helpful to know which ones best suit your needs before including them for your images. This article will help you assign licenses to your assets in the Media, Logo and Document Libraries. 

Setting Up Licenses for Your Library Assets

Go to the backend of your Library. From the three dots on the top right of your screen, select ‘General’ settings. Here, you can choose ‘Add License.’

A new, smaller window will appear to let you specify the title, which is the type of license (Creative Commons, royalty free, etc.), and then add a description of the license for details. Additionally, you have the option to apply these specifications by default to every new asset and activate the requirement to accept license notices before anyone is able to download an asset – simply by toggling the respective buttons. If you opt to download a whole collection, all license specifications of the included assets will be displayed in the popup.

Note: The license name (e.g., “Unlimited in Perpetuity”) appears in the frontend as-is. The accompanying description is set in the License settings and is separate from the Copyright settings, even though both can appear together when viewing or downloading an asset.

From the moment you select an image from the backend of your Library, you can create the copyright status, copyright notice, and/or licenses in a bulk action or individually for your assets. 

The gif below shows how this functionality appears in the backend when opening an image. You can also edit the licensing information by switching to the metadata tab. 

Frontend license display

In the frontend, the image’s license will be displayed under usage rights after clicking on the image.

The ‘Usage Rights’ section visible to users is a combination of multiple backend settings:

  • The license name and description come from your License settings

  • If enabled, any copyright notice will also appear when a user downloads the asset.

Managing license visibility

License visibility settings let you control who can see specific license information, ensuring sensitive or internal details remain protected. By defining which user groups can view certain licenses, you can make sure users only see the usage terms relevant to them.

How license visibility works

You can manage license visibility settings in the General Settings of any Library.

  • Users only see licenses assigned to their user group.

  • If visibility is set to Everyone, all users — including public viewers — can see the license.

  • If a user belongs to multiple groups, they’ll see all licenses available to any of their groups.

Where License visibility applies

License targets will control visibility in all the key touchpoints where usage rights appear:

  • Asset detail view (Library pages)

  • Usage rights modal

  • Single, bulk, and collection downloads

  • External share download modals

These settings give you flexibility and control, ensuring that only the right people see the right license information — keeping your licensing experience transparent, compliant, and easy to manage.
