Instruction on how to install and use the Frontify to Hubspot integration

The Frontify - HubSpot Integration enables Frontify users to access and synchronize brand assets within the HubSpot ecosystem, enhancing the content creation experience for marketing teams.

In this article, you learn how to use Frontify and HubSpot together.


Introduction

This guide will help you install and activate the Frontify - HubSpot integration in just a few simple steps. Once installed, you’ll be able to use Frontify assets directly within your HubSpot landing pages, email templates, etc.

Before considering this integration, we recommend exploring Frontify's desktop application, which is included in your subscription and allow's drag and drop functionality to Hubspot and contains more advanced filtering and searching options than this integration.


Prerequisites

Before starting the installation, ensure the following:

  1. You have an active Frontify account.

  2. You have a HubSpot account and are a Super Admin on the HubSpot account you wish to connect to.

  3. Inform your Customer Success Manager of your interest in this integration so that they may provide you with a link to install the extensions.


Steps in Frontify

A Frontify developer token will be needed for the integration. Please see the linked article for instructions on how to generate one with access to the target libraries.

The required scopes for the token are

  • account:read

  • basic:read

  • basic:write

  • webhook:read

  • webhook:write


Step-by-step installation in Hubspot

Step 1: Access intstallation

  • During the Beta phase, the application is not available via Hubspot marketplace. The CSM will share an app installation link with you.

Step 2: Click the installation link

  • Open the link in your browser.

  • If you're not logged into HubSpot, it will prompt you to log in.

Step 3: Choose your HubSpot account

  • Select the HubSpot portal you wish to connect to Frontify.

  • Click Choose Account.

Step 4: Grant permissions

  • You will see a screen listing the permissions this integration requires.

  • Click Connect App to approve and install.

Step 5: Confirmation

You’ll be redirected to the Connection Successful page. You can close this window.


Setup steps after installation

Access the installed app

  1. Navigate to Marketplace → Connected Apps from the top navigation bar in HubSpot.

  2. Locate Frontify for HubSpot and open the app.

Configure Frontify settings in HubSpot

  1. Navigate to the Settings tab.

  2. Enter your Frontify domain and the developer token provided by your CSM.

Click Save Configuration to start syncing assets to HubSpot Media Bridge Objects.


How to use Frontify assets in HubSpot

You can use the Frontify assets in HubSpot landing pages and email templates. This section will show you how to use the Frontify assets in HubSpot.

Using Frontify assets in landing pages

  1. Navigate to Content → Landing Pages. Open or create a landing page.

  2. In the Add Module section, search for Frontify Media.

  3. Drag and drop the module onto the page.

  4. Click Select from Frontify for HubSpot to view assets in the right-side panel.

  5. Click the desired asset. You can adjust the asset size using the Adjust Size option. You can also switch between the Video and Image using the dropdown, if required.

Using Frontify assets in email templates

Note: The Frontify Email custom module may not be visible in all accounts. HubSpot allows email modules to be created only in Marketing Hub Professional or Enterprise accounts, as stated in HubSpot’s documentation.

  1. Navigate to Marketing → Email. Open or create an email template.

  2. In the Add Module section, search for Frontify Email.

Follow the same steps 3-5 as outlined for landing pages above.

How to view Frontify assets in HubSpot file manager

Note: In HubSpot Free accounts, the File Manager may not be directly accessible from the UI. To view files, open the following URL in your browser and replace <portalId> with your HubSpot portal ID: https://app.hubspot.com/files/<portalId>

  1. Navigate to Content → Files.

  2. If assets are successfully synced, a folder named frontify will be created. All synced Frontify assets will be available within this folder.


FAQ

What search option are available?

You can search based on the filenames, or navigate based on the folder structure. Due to Hubspot's file management limitations, searching through metadata is not supported.

Frontify recommends establishing and applying a clear naming convention in general, but especially for your assets that you use in Hubspot.

Why does the folder view seem crowded?

You likely have multiple subfolders, as you should. Hubspot unfortunately only allows a single level of folder depth, so we have to display the full folder path for each folder to make navigation clear.

This means that for example folder / subfolder / subfolder appears as one item in the folder list.

Collections aren't displayed in HubSpot — only folders and assets.

Is metadata synced over?

No. Only the asset title and folder structure are synced.

Is video streaming supported?

When using videos through the CMS or Email extensions, videos are used as embedded content direct from Frontify. If using the videos that were synced to Hubspot File Manager, the video is used like a native Hubspot asset.

What should we do when the token expires?

Since the maximum lifetime of a developer token on Frontify is 1 year, you will need to obtain a new one, following the instructions above under "Steps in Frontify".

Can I apply all the same options to the Frontify component as Hubspot native?

The Native Hubspot image and video blocks have more customization and styling options than the Frontify component. If you find you need these, you can use the native component and use the assets that were synced to Hubspot File Manager instead of via the extension directly.

Some of my files did not sync to Hubspot file manager.

The synchronization of files has some limitations. Frontify allows hosting filetypes which are not supported by Hubspot, so your file may not have been supported by Hubspot. Check their file type limitations from Hubspot's documentation.

The sync is limited to files under 512 MB, so if your file is larger, it will not be synced.

Files with Unicode characters in the title are known to cause issues and may not be synced, since the system is unable to interpret these correctly. You can attempt to retitle your asset limiting the use of special characters.

How often do assets sync?

The sync runs on a timer, roughly every 24 hours. Both new assets and updates to already-synced assets are picked up — a new version in Frontify updates the synced asset. Because the sync is scheduled rather than instant, assets won't appear in HubSpot immediately after you add them in Frontify.

What happens if I delete an asset in Frontify?

Deletions don't propagate to HubSpot. A copy synced to the File Manager stays in place. An asset inserted from the picker references Frontify directly, so it will stop displaying once the source asset is removed.

Who can see the synced assets?

The integration connects through a single Frontify developer token, and there's no per-user permission layer in HubSpot. Every asset that token can access is visible to all HubSpot users on the connected account. Scope the token's library access to control what appears in HubSpot.
