Uploading Assets to Frontify

A guide to uploading assets and their correct formatting.

Overview

Frontify’s upload experience makes it easy to add, organize, and tag your brand assets, whether you’re uploading a few files or thousands.
With support for multi-batch uploads and default metadata assignment, you can scale your library while keeping it structured and searchable from the start.

Uploading assets

Assets can be uploaded to both the backend of a Library and to a Project by clicking the + New button in the top-right corner of your Library or Project page. Alternatively, you can drag and drop files or folders directly into the interface.

You can also upload multiple batches into different folders at the same time, with up to 25,000 assets per batch.

Note: Only Editors and Owners can upload assets. Viewers and Reviewers can browse or download assets, but not add new ones.


Can I upload assets in the Library page?

The Library page is the frontend view, where the users who have access to the Guidelines can view and download the images. It is possible to upload assets through the Library page (frontend view) through the Asset submission block, but metadata can only be edited in the backend of a Library.


Assigning Metadata on upload

To help maintain consistency and improve searchability, Admins can define default metadata to apply to any asset upload batch, including:

  • Asset Availability dates

  • Creator information

  • Copyright notice and Copyright status

  • Description, Licenses and Tags

  • Workflow status

When you upload a new asset or batch, this default metadata will be applied automatically. You can still edit or override metadata for individual assets later, but defaults help maintain consistency.


Multi-batch uploads and limits

You can upload multiple large batches simultaneously and launch uploads across different library locations.

Limits:

  • Up to 25,000 assets per batch

  • Individual files up to 5 TB in size

The upload bar at the bottom tracks progress for all uploads, showing which are in progress, complete, or failed.

You can navigate around the platform while uploads continue in the background as long as you keep the browser tab open. If your connection drops, uploads pause and resume automatically.


Supported formats

Frontify supports nearly all file types, with some exceptions for security or functional reasons.

  • Images: bmp, dng, eps, gif, ico, jpeg, jpg, png, psd, psb, svg, tif, tiff, webp

  • Videos: mp4, mov, avi, flv, mkv, mpg, mts, webm, wmv

  • Documents: ai, pdf, docx, pptx*, ppt*, potx*, dotx, xlsx

  • Other: indd, sketch, ttf

  • Audio: while these assets do not necessarily have an image preview, the audio itself can be previewed

If a file type isn’t supported for preview, it will appear with a generic file icon and its extension.

*Files with embedded restricted fonts can be uploaded to the library backend, but won't generate previews or appear in the frontend.

To resolve this, remove restricted fonts and re-upload the file or compress the file into a .zip and add a custom preview image.

Note: The Icon Library only supports .svg format.


Timing and storage

Upload time depends on file size, number of assets, and your connection speed. We recommend that you keep your browser tab open (you can navigate within Frontify), avoid simultaneous large uploads in multiple tabs, and check available storage in the Analytics section under Storage.

Inviting users

To invite users, navigate to the team icon within a library and send an invitation with Editor permission level. You can also send an invite in the Access management section within the Libraries tab.

Note: Only invited users with Editor or Owner rights can upload assets. Users must be invited individually to each library or guideline—general platform access or group membership alone doesn't grant upload permissions.

Best practices for efficient uploads

  • Apply consistent metadata before uploading large batches

  • Upload in logical groups (e.g., per campaign or asset type)

  • Use folders and tags together to enhance searchability
