Overview

Workspace spotlight search helps editors and admins quickly find the content they need, without browsing folders or guessing where something is stored. The improved experience makes it easier to discover assets, folders, and guideline content across your entire Workspace.


What content can you find?

You can search across:

  • Assets in projects and libraries

  • Folders from projects, libraries, and newsletters

  • Guideline content, including page and section titles

Note: Tags and library names are no longer searchable due to low usage.


How are results shown?

Results are ranked based on relevance, and the logic differs slightly depending on the type of content:

Folders

  1. Matches are based on folder titles.

  2. Exact matches are prioritized.

Assets

  1. Keywords are first compared against asset names.

  2. If no match is found, Frontify checks the asset description.

  3. Finally, tags, legal metadata, and custom metadata are searched.

Once natural language search is rolled out, results will include both exact and semantic matches.

Guidelines

  1. Searches across titles, headings, body text, and block descriptions.

  2. Results where the keyword appears more frequently, or in a more prominent position (e.g., surrounded by fewer words), are ranked higher.

  3. Once natural language search is rolled out, results will include both exact and semantic matches.


Who it’s for

  • Available to all editors and admins using Workspace spotlight search.

  • Viewers won’t see any changes.


How to use it

  1. Open spotlight search from your Workspace navigation
    type a keyword, file name, or topic

  2. Select the result to jump directly into the right content

No setup needed, everything works out of the box.


FAQs

  1. Is guideline content searchable? Yes. you can now search guideline page and section titles from the Workspace.

  2. Can I search by tags or library names? No. these were removed based on usage data.

  3. Can I search across multiple brands? Not at this time. multi-brand support is being explored.

  4. Do I need to enable it? No. it’s available by default.
